1. Data Controller

NeuroVox is operated as an individual service.

2. Data We Collect

We collect the following data:

  • Discord User ID — for authentication and subscription management.
  • Discord Username — for display in the dashboard.
  • Email Address — provided by Discord during OAuth login, used for subscription-related communications.
  • Payment Data — processed exclusively by Stripe. We do not store any credit card numbers.
  • Direct Message Content — when a user sends a direct message to the bot, the message content is read and relayed to our internal support channel for customer support purposes. Message content is not stored.
  • Voice Channel Member List — the bot reads the list of members present in the voice channel to detect when it is the last participant and trigger an automatic disconnection. No member data is stored.

3. Audio Data

Audio data captured in Discord voice channels is processed in real time for transcription and translation. The processing pipeline may use temporary audio files. Transcripts, histories or recaps may be available depending on service settings. Contact us to confirm the retention periods that apply to your usage. The web demo uses your browser's speech recognition and synthesized voices, and a Google translation service to which the text is sent. Microphone access is requested only after an explicit action.

4. Purpose of Processing

  • Provide the real-time voice translation service.
  • Manage subscriptions and billing.
  • Provide customer support.
  • Relay direct messages to the support team.
  • Detect inactivity in voice channels to auto-disconnect.

5. Hosting and Sub-processors

  • Supabase — Database (hosted in the EU).
  • Stripe — Payment processing.
  • Vercel — Website hosting.
  • IONOS — Bot server hosting (Germany).

6. Data Retention

Account data is retained as long as your account is active. Upon account deletion, your data will be erased within 30 days.

7. Your Rights (GDPR)

Under the GDPR, you have the following rights:

  • Right of access to your personal data.
  • Right to rectification.
  • Right to erasure ("right to be forgotten").
  • Right to data portability.
  • Right to object to processing.

8. Cookies

Technical cookies support functions such as authentication. With your Analytics consent, we enable page and journey measurement, Google Analytics and Vercel Analytics. Advertising consent enables Google Ads and TikTok Pixel. Preferences, measurement identifiers and campaign parameters may be stored in your browser. You can decline non-essential tracking or change your choice using “Cookie preferences” in the homepage footer. Events required for subscriptions and payments are still processed server-side.
